How to choose your outbound stack
Almost every cold email tool promises more replies. What actually decides results is whether your emails reach the inbox, whether they go to the right people and whether the message is relevant. Pick tools for each of those jobs, and make sure they work together, rather than chasing the platform with the longest feature list.
What to check before you pay
- Sending limits and pricing model. Some tools charge per inbox or per seat, others offer unlimited inboxes. Work out the cost at the volume you will actually send.
- Deliverability features. Warm-up, inbox rotation, bounce protection and DNS checks matter more than templates.
- Data quality. For lead databases, check how often data is refreshed and whether emails are verified.
- Integrations. Make sure replies and meetings flow into your CRM.
- Compliance. Follow the rules that apply to you, such as CAN-SPAM, GDPR and the sending policies of Google and Microsoft.

What tools do I need for cold email?
Most outbound setups combine a sending platform for sequences, dedicated inboxes and domains so your main domain is protected, a warm-up and deliverability tool, a lead database or enrichment tool to build lists, and an email verifier to remove bad addresses before you send. Many sending platforms now bundle warm-up and some lead data.
What is an AI SDR?
An AI SDR is software that does parts of a sales development rep's job: researching prospects, writing personalized emails and follow-ups, handling replies and booking meetings. Most still work best with a person reviewing targeting and messaging.
Why do cold emails land in spam?
Common causes are sending from a new or unwarmed domain, missing SPF, DKIM or DMARC records, sending too many emails per inbox, and high bounce rates from unverified lists. Warm-up, proper DNS setup, inbox rotation and verification fix most of it.
