How to choose an outbound agency

An outbound agency runs prospecting for you: building lists, writing and sending outreach, following up and booking meetings with your sales team. A good one can get you meetings faster than hiring and training your own SDRs. A poor fit wastes months, so it pays to compare carefully.

Questions to ask before you sign

  • Who is it for? Ask for results with companies like yours, in your industry, deal size and target market. An agency that books meetings for marketing agencies may struggle with enterprise software.
  • Which channels? Cold email, LinkedIn, calling or a mix. Multichannel programmes usually reach more people, but cost more.
  • Who owns the assets? Check who owns the sending domains, inboxes, lead lists and CRM data if you part ways. Ideally, you do.
  • What counts as a qualified meeting? Agree the definition in writing: job titles, company size, need and whether the prospect has to show up.
  • How will you see results? Ask for regular reporting on emails sent, replies, positive replies and meetings, not only activity.
  • What are the terms? Minimum commitments, notice periods, setup fees and what a guarantee actually promises.

How agencies charge

Most charge a monthly retainer, which buys the team's time and tools. Others charge per meeting or per lead, which lowers your risk but often costs more per meeting and depends heavily on how "qualified" is defined. Some combine a smaller retainer with a performance fee. Retainers for full-service outbound commonly run from a few thousand dollars a month upwards.

Setting expectations

The first few weeks usually go on research, messaging and infrastructure setup, especially for cold email, where new inboxes need warming up. How long does it take to see results from an agency?
